Privacy Notice

The Dog Business Association, referred to in this notice as DBA, is currently being established as an independent, not-for-profit trade association for dog service professionals.

This Privacy Notice explains how we collect and use personal information when you register your interest through this website.

The ICO says organisations must provide clear privacy information when collecting personal data, including the purpose, lawful basis, retention period and who the data may be shared with.

1. Who we are

The Dog Business Association is currently in formation.

Until incorporation is complete, the person responsible for handling expression of interest data is:

Once the DBA is incorporated, this notice will be updated with the company name, company number and registered office address.

2. What information we collect

When you register your interest, we may collect:

  • Your name
  • Your email address
  • Your business name
  • Your business type
  • Whether you were previously a member of the Association of Dog Boarders
  • Any comments or information you choose to provide

We do not intentionally collect sensitive personal data through the expression of interest form. Please do not include unnecessary personal, financial, medical or confidential information in the comments box.

3. Why we collect this information

We collect your information to:

  • record your interest in the proposed DBA;
  • contact you about the DBA’s formation, launch plans and next steps;
  • understand which types of dog service professionals are interested;
  • identify former Association of Dog Boarders members who may be eligible for a future transitional offer;
  • invite you to receive information about founding membership when it becomes available;
  • plan future services, resources and benefits that may be relevant to prospective members.

Registering interest does not make you a member. We are not currently taking payment, issuing membership, granting Trust Mark use or operating a member directory.

4. Our lawful basis

Our lawful basis for using your information is legitimate interests.

Our legitimate interest is to assess interest in the proposed association, communicate with people who have asked to hear more, and plan the launch of the DBA.

Where we send wider marketing or promotional emails in future, we may ask for your consent where required.

The ICO explains that organisations must identify a lawful basis before using personal data.

5. How we use your information

We may use your information to:

  • Send DBA formation updates
  • Contact you about founding membership when it becomes available
  • Ask follow-up questions about your interest in the DBA
  • Maintain an internal expression of interest list
  • Improve the proposed membership offer

We will not sell your personal information.

We will not publish your details on the website without your permission.

We will not treat registering interest as confirmed membership.

6. Who we share your information with

We will not sell your personal information.

We will not give your details to sponsors, commercial partners or third parties for their own marketing unless you have clearly agreed to this, or you have asked us to pass your details on.

We may share limited personal information with trusted providers who help us run the DBA website, expression of interest form, mailing list, database, administration and IT systems. These providers may only use your information to provide services to us.

We may also share limited information with professional advisers, such as solicitors, accountants, insurance advisers, governance advisers or consultants, where this is necessary to help establish, operate or protect the DBA.

In future, the DBA may work with partners, sponsors or suppliers to provide member benefits, events, discounts, resources or professional support. Where possible, we will tell you about these opportunities ourselves, rather than sharing your details with the partner. If a partner needs your information, we will make this clear and will only share it where there is a lawful basis to do so.

We will not publish your details on a member directory, public list or website without your permission.

7. Partner and sponsor communications

The DBA may, in future, work with carefully selected partners, sponsors or suppliers where we believe they may offer useful services, resources, discounts or support to dog service professionals.

We may contact you about these opportunities as part of DBA updates, where it is lawful to do so.

We will not give your personal information to partners or sponsors for their own marketing unless:

  • you have clearly opted in;
  • you have asked us to make an introduction;
  • you have registered for a partner event, offer or service; or
  • we are otherwise legally permitted to do so and have explained this clearly.

You can object to direct marketing at any time. The ICO confirms that individuals have an absolute right to object to direct marketing.

8. How long we keep your information

We will keep expression of interest information until the DBA launches and for up to 12 months after launch, unless you ask us to delete it sooner.

After that, we will either:

  • delete your information;
  • ask whether you wish to remain on the DBA mailing list; or
  • transfer your details into a membership record, if you choose to become a member.

If the DBA does not launch, expression of interest data will be deleted within 12 months of the decision not to proceed.

9. Your rights

You have rights over your personal information. These may include the right to:

  • Ask for a copy of the information we hold about you
  • Ask us to correct inaccurate information
  • Ask us to delete your information
  • Object to us using your information
  • Ask us to restrict how we use your information
  • Withdraw consent where we rely on consent

You can also ask us to remove you from the DBA expression of interest list at any time.

10. Complaints

Please contact us first if you have concerns about how we use your information.

You also have the right to complain to the Information Commissioner’s Office, the UK regulator for data protection.

11. Changes to this notice

We may update this Privacy Notice as the DBA develops.

In particular, we will update it when:

  • the DBA is incorporated;
  • full membership opens;
  • membership payments are introduced;
  • the DBA Trust Mark becomes available;
  • a member directory is launched;
  • additional services or systems are introduced.
